Privacy Policy

This policy describes how SWOWL collects, uses, and protects information when you use the Chrome extension and hosted dashboard.

What SWOWL is

SWOWL is a subscription study assistant for online learning platforms, including supported Moodle sites. The Chrome extension works with your SWOWL dashboard account to provide contextual learning support through our secure cloud service.

Information we collect

  • Account information — When you sign in, our authentication provider verifies you. We store your account identifier and email associated with your dashboard profile.
  • Session link — After sign-in, the dashboard sets a secure session indicator on the dashboard origin. The extension reads this (with your permission) so requests run under your account. It is cleared when you sign out.
  • Question and page context — On supported learning sites, we collect question or prompt text you submit, page context needed to answer it, and the page URL where the request originated.
  • Service logs — Our cloud backend stores limited telemetry (timestamps, status, and related metadata) for subscription enforcement, debugging, and reliability.
  • AI processing — Question text and page context are sent to our AI service to generate responses. That service processes data under its terms as a data processor on our behalf.

How we use your information

  • Authenticate you and manage subscription or license access.
  • Sync your session between the dashboard and Chrome extension.
  • Generate study-assistance responses through our AI pipeline.
  • Enforce usage limits, prevent abuse, and maintain reliability.
  • Provide support when you contact us about your account.

We use data only for these purposes. We do not sell your personal information.

Third-party processors

SWOWL relies on trusted providers for:

  • Authentication — Sign-in and session management.
  • Cloud backend — Database, APIs, and request logging.
  • Hosting — The SWOWL dashboard web application.
  • AI service — Study-assistance response generation.

Each provider processes data under its own privacy policy and our agreements. We share only what is necessary to operate the service.

Data retention and security

Account and subscription data is retained while your account is active and as needed for legal or operational purposes. Service logs are kept for a limited period for diagnostics and abuse prevention. Session indicators expire automatically and refresh while you remain signed in.

We use HTTPS, authenticated APIs, and purpose-limited access controls. No transmission over the internet is fully secure; we take reasonable measures to protect your information.

Your choices

  • Sign out of the dashboard at any time to clear the session link used by the extension.
  • Uninstall the Chrome extension to stop on-page data collection.
  • Request account-related support through the dashboard after signing in.

Children

SWOWL is intended for enrolled learners with authorized access. We do not knowingly collect personal information from children under 13 without appropriate consent.

Changes to this policy

We may update this policy from time to time. Material changes appear on this page with an updated date. Continued use after changes constitutes acceptance of the revised policy.
